How do I use PlanChest 2 Outlook?
Users can see PlanChest contact data at all times. They do not need to have your PlanChest database open and, indeed, they need not be aware of its existence.
Users can be provided with updated corporate information on a regular basis, minimising the necessity for them to maintain their own contact information.
PlanChest 2 Outlook creates a new 'PlanChest Contacts' folder in Outlook and assigns a newly-created Outlook category to each project. There is a default category for all Planchest Contacts.
Users can search for an individual alphabetically in the 'All PlanChest Contacts' category, or in any of the Projects on which the individual is working.
A standard installation of Planchest 2 Outlook imports information into the following default fields of the Outlook Contact's details:
Business Address (including all the individual sub-fields)
Business Fax
Business Home Page
Business Phone (same as Company Main Phone)
Business Phone 2 (PlanChest uses this for the contact's direct-dial number, if any)
Company
Company Main Phone
E-mail
File As
First Name
Full Name
Job Title
Last Name
Mailing Address (same as Business Address)
Mobile Phone

PlanChest 2 Outlook is a simple Visual Basic executable file which exports information from selected PlanChest data tables into the standard MS Outlook Contact fields. PlanChest 2 Outlook works with multi-user installations of Microsoft Exchange and with single-user installations of Microsoft Outlook.
For our larger clients with MS Exchange we recommend that the PlanChest 2 Outlook file is scheduled to run automatically overnight. This ensures that the users see data that is never more than 24 hours old. The PlanChest Contacts folder is created in the Outlook Public Folders.
For our clients who rely on individual installations of MS Outlook, the PlanChest 2 Outlook file can be run on an ad-hoc basis as needed. The PlanChest Contacts folder is created in the Outlook Personal Folders.
