The Project Directory is a sub-form of the Project Form displaying detailed information about all the Companies and Contacts working on the Project.
The Project Directory displays in two views - List and Form - using the toggle buttons at the base of the form. You also have the option of displaying Current Project Companies / Contacts or All Project Companies / Contacts using the toggle buttons at the top of the form.
The List view displays enough information to enable you to select a particular Company or Contact for more detailed viewing. The List view displays sorted by file code but you may re-sort any of the fields using the normal Access sorting icons. The List view is not editable but you may use the Add/Remove buttons if you wish.
The Form view provides more detailed project-specific information as listed under Data constraints.
Click either the Add a company ... or Add a contact ... button to open the Address Book with the 'Add this ...' buttons enabled.
Select the correct Company and/or Contact in the Address Book, then click either of the Add this company ... or Add this contact ... buttons at the base of the Address Book form. Adding a Contact will add the Contact's Company at the same time.
To remove a Company or Contact from the Project, click either the Remove
this company ... or Remove this contact ... buttons, but remember ...
You cannot remove a Project Contact to whom drawings have been issued. If they no longer work on the project, you must 'untick' the Current Project Contact box in the Project Contact information.
You cannot remove a Project Company without first removing all the associated Project Contacts.
Removing Companies and Contacts from a Project does not delete them from the database unless you delete them from the Address Book.
This is information about a Company that is specific to that Company's Role on that particular Project. All fields are optional.
Sub-Consultant: This is used by some PlanChest customers to note a particular company relationship.
Project Role/2/3: You may select from the Look-Up Table Company Project Role, or type-in whatever you wish.
File Code/2/3: You may select from the Look-Up Table Company Project Role, or type-in whatever you wish.
Current Project Company: Ticking this box ensures that the Project Company appears as 'current' when this option is available. More particularly, 'unticking' the box will hide 'non-current' companies from several reports.
Drawing comment days: By inserting a particular value in this field, dates are automatically inserted when using the Revisions footer of the Drawings Form.
Project e-mail: This field is used when a Company has created a specific project-related e-mail address, e.g. project1234@myengineer.co.uk.
Project website: This hyperlink field may be used in conjunction with some web-based project hosting systems.
Sub-Contract Value: This is used by some PlanChest customers to note a particular financial value.
This is information about a Contact that is specific to that Contact's Role on that particular Project. All fields are optional.
Project Role: This is a 'free-form' field for noting a Contact's role on that particular Project. For example, a Contact may have a Job Title of 'Director' and a Project Role of 'Contracts Manager'.
Key Project Contact: Ticking this box will identify the Contact as 'key' on the Project Directory Report.
Current Project Contact: Ticking this box ensures that the Project Contact appears as 'current' when this option is available. More particularly, 'unticking' the box will hide 'non-current' contacts from several reports. Newly created Project Contacts are automatically assigned a 'current' status.
Drawing Recipient: Ticking this box ensures that the Project Contact appears on the 'Add Contacts' dialogue of the Drawing Issues Form. Newly created Project Contacts are automatically assigned a 'Drawing Recipient' status.
Use the Reports button on the Project Form.
