Form Help - Drawing Issues

This powerful form is at the heart of PlanChest's ability to control and manage document issues. Take time to learn how to use it properly.

Creating the first Drawing Issue for a Project

  • Before starting to create the first Drawing Issue for a Project ensure that:

    • the Drawings you wish to issue are in the Drawings List

    • the Companies to whom you wish to issue the Drawings are Project Companies in the Project Directory.

    • the Contacts, at those Companies, to whom you wish to issue the Drawings are Project Contacts in the Project Directory and they are 'ticked' as Drawing Recipients.

  • Select the pull-down Project list in the grey banner at the top of the form and confirm that the Project is not already listed.

  • Type in the Project Number then press the 'Return' key. A dialogue box will appear asking whether you wish to 'Select a Project for which to create new Drawing Issues?'. Select 'Yes'. You will be presented with a list of all the Projects. Select the correct Project then press the 'Return' key and the Project Number/Name will be inserted, in red text, into the box in the grey banner.

  • Go immediately to the  Issues:  button, click to open the Issues dialogue box, then select  Create a new issue:  (which will obviously be No.1.).

  • Click  Apply changes:  to 'fix' the basic information for the first Issue. Do not worry if it is incorrect. You can return to edit the information before proceeding to complete the issue.

  • Return to the Home Page and re-enter Drawing Issues. This should take you straight to the correct Project at Issue No.1. (This action is solely to ensure that the first issue has been correctly 'fixed' by the PlanChest software.)

  • Select the  Issues:  button, open the Issues dialogue box, and you will see the cursor in the '1' box. Select  Edit an existing issue:  and the Issue details will become 'active'. Edit as necessary, select  Apply changes:  and close the Issues dialogue box. Proceed as for 'Creating a new Drawing Issue - Adding drawings'.

Creating a new Drawing Issue

Creating the basic Issue details

  • Select the Project to display the most recent Issue.

  • Select the  Issues:  button, click to open the Issues dialogue box, then select  Create a new issue:  The next number and today's date are inserted automatically. You may edit the date if necessary or delete and leave blank. You can always return later to edit the information.

  • Complete with any other relevant information. None of these fields are 'required' and may be left blank if appropriate. For more information on Packages refer to the Package Drawings Help page.

  • Select  Apply changes:  and close the Issues dialogue box. The basic Issue details should appear in the grey heading.

Adding Drawings

  • Select  Add drawings:

  • On the Add Drawings dialogue box, select the Company whose Drawings you wish to issue. You see a complete list of all the Drawings, of that Company, as entered in the Drawings List.

  • Double-click the Record Selector for the first drawing you wish to issue.

  • On the Add Revisions dialogue box select the appropriate revision or, if you wish, you may create a new revision here rather than using the Revisions Footer of the Drawings Table. Using the Tab key to move across the record will automatically select the latest revision as 'current' and insert today's date as the Revision Date. Either of these may be edited if this is not correct.

  • Double-click the Record Selector for the Revision that you wish to add and PlanChest will add this to the Issue Drawings list of the underlying Drawing Issue.

  • Repeat to add all the required Drawings to the Issue, then close the Add Drawings dialogue box.

Adding Contacts

  • Select  Add contacts:

  • The Add Contacts dialogue box displays only those Project Contacts who are 'ticked' as Drawing Recipients in the Project Directory.

  • Double-click the Record Selector against each of the Contacts that you wish to add and PlanChest will add them to the Issue Distribution list of the underlying Drawing Issue.

  • Close the Add Drawings dialogue box.

  • Insert the number of copies to be issued in the appropriate field(s).

Your Issue has now been created.
