Form Help - Project Actions In

The Project Actions In and Project Actions Out schedules will assist you in the management of the information flow to and from your organisation. They are primarily intended for use by companies who are members of the Design Team but are equally applicable, with minor modification, for use by the Construction Team.

The Project Action In schedule lists the actions requested of you by others. Within a Design Team organisation it will normally be used to record information such the Contractor's Requests for Information (RFIs). One of the most important uses of the printed Report is to provide, by filtering, a list of unactioned items targeted at individuals within the Project Team.

Creating a new Project Actions In schedule

  • Before starting to create a new Project Actions In schedule for a Project, ensure that the Project is in the Projects List and the Company whose schedule you wish to create (generally 'My Company') is a Project Company in the Project Directory.

  • From the Home Page, select  Project Actions In  which will take you straight to the Project Actions In view with one of the existing schedules visible. Select the pull-down Project list in the grey banner at the top of the form and confirm that the Project you are about to create is not already listed.

  • Type in the Project Number then press the 'Return' key. A dialogue box will appear asking whether you wish to  Select a Project for which to create a new Actions In schedule? . Select  Yes . You will be presented with a list of all the Projects. Select the correct Project and this will be inserted, in red text, into the box in the grey banner.

  • You must then add some information into the first line of the form to 'fix' the new schedule. We suggest you insert the number '1' into the first column. Don't worry if this is incorrect, you can always return and edit the information later.

  • Return to the Home Page, reselect  Project Actions In  and the new Project Number will appear in the selection list at the top of the form.

Data constraints

  • Number: A number field. You may type in the number, or double-click within the field to auto-generate the next sequential number. Note that PlanChest displays the 20 'highest numbers' and earlier entries may be viewed by scrolling. This is deliberately different from most other PlanChest list views.

  • Originator: You are offered a 'pick-list' of all the Companies that are Project Companies in the Project Directory. You may select one of these or type in another name. Warning! Any 'new' names that you type-in will not appear in future 'pick-lists' and data may become inconsistent. PlanChest recommends that all companies who request actions of you should be listed as Project Companies.

  • Originator reference: A text field, allowing the insertion of numbers or characters.

  • Description: A text field, allowing the insertion of numbers or characters.

  • Action by: Type in the name of the Team member who will action the request. This is a Self-Building List.

  • Date received/Target return date/Actual return date: Date fields.

  • Comments: A text field, allowing the insertion of numbers or characters.
